About this site

Real Water Arizona (realwateraz.org) is an initiative of the Arizona Water Innovation Initiative (AWII) at Arizona State University, in partnership with the Arizona Department of Real Estate (ADRE).

This site is covered by the ASU Privacy Statement, which is the governing policy. This page adds details about what this site collects, why we collect it, who can see it, and how long we keep it. If this page and the ASU Privacy Statement differ, the ASU Privacy Statement applies.


Continuing education and ADRE

Real Water Arizona courses are designed for Arizona real estate professionals' continuing education. We do not send any of your information to ADRE. When you complete a course, you download your certificate and report your completion to ADRE yourself.

If you provide your ADRE license number, we store it so Real Water project staff can check whether your license is active or inactive. We do not display it publicly or share it with ADRE.


Research

Real Water Arizona operates under an approved ASU human subjects research protocol reviewed by ASU's Institutional Review Board (IRB).

Taking part in research is optional, and you have to opt in:
 

  • When you set up your profile, you will see a research consent checkbox. It starts unchecked.
  • If you leave it unchecked, you are not a research participant.
  • You must be 18 or older to take part.
  • You can change your choice at any time in your profile.

You can use the whole site whether or not you take part.

To identify your account and print on your certificates

To sign you in. It is stored only in encrypted (hashed) form, so we cannot see it.

To let staff check whether your license is active

Only Real Water project staff at ASU can see this information. The site is hosted by Pantheon.

We keep account information for 4 years. After that, your profile expires, and you can register again. Your password and internal account ID are kept only while your account exists.


Course and assessment data

When you take courses, we record:
 

  • your enrollments and your lesson and video progress,
  • your quiz answers, scores, and number of attempts,
  • your responses to open-ended questions,
  • your completion dates, and
  • your certificates (type, date, and certificate ID) and CE hours earned.

We use this data to save your place, decide whether you passed, and issue your certificates. Certificates are not publicly searchable. You can get yours only by signing in and downloading a printable PDF.

We keep course data and certificate records for 4 years.


CE credit reporting to ADRE

We send nothing to ADRE automatically. Your certificate shows certificate fields, e.g., your name, course title, and completion date. ADRE is an Arizona state agency. When you submit your certificate to ADRE, ADRE's own policies apply.


How research data is used

This section applies only if you have opted in.

We may analyze the following and publish findings in research articles:
 

  • your course enrollments,
  • your lesson and video progress,
  • your quiz answers and
  • your responses to open-ended questions.

Published data is de-identified, which means we never publish your name, email address, or license number. Your scores, certificates, and account details are used only internally.

We record the date and time whenever you change your consent choice, so each research dataset reflects who had consented when it was created. Your consent choice is kept with your profile for 4 years.

If you withdraw, your data will not be used in future research. Data that has already been published cannot be withdrawn.

Opting in or out does not affect the site's internal analytics, which we use to improve the site and its content for everyone.


Contact form

When you use the contact form, we collect your name, email address, and message.
 

  • Your message is stored in the site's database and emailed to the Real Water project team.
  • You will receive a confirmation email.
  • If you are signed in, your message is linked to your account.
  • Your IP address is recorded with your message and kept for 4 years.
  • Only site administrators can view stored messages.
  • We keep stored messages for 4 years.

Real Waterbot

Google Analytics. We use Google Analytics 4 to understand how the site is used: which pages people visit, what device and browser they use, and roughly where they are. Google estimates your region from your IP address and does not store the IP address in Analytics. We also track course activity, such as time spent, completions, and moving from a lesson to Real Waterbot.

We do not send your name, email address, or account ID to Google Analytics. Google identifies sessions with a random ID, not with your identity. Google Signals (cross-device tracking) is turned off. Analytics data is kept for 14 months.

Server logs. Our hosting provider, Pantheon, records IP addresses and browser information for security and operations. These logs are kept for 4 years.

Course videos. Course videos are hosted on YouTube and shown in privacy-enhanced mode. Google may set cookies when you play a video.


Real Waterbot (AI assistant)

Real Waterbot answers questions about Arizona water rules for real estate. ASU faculty and students built and maintain it, and it runs as a separate application from this site.
 

  • Anyone can use it without signing in. The bot does not know who you are, and your Real Water account information is never shared with it.
  • Your messages go to OpenAI. They are sent through OpenAI's API so it can generate a response. Our OpenAI settings turn off sharing of your messages for model training.
  • Messages are stored exactly as you type them. We store each message and response together with a random session ID, the sources used, and any rating you give. We do not remove personal details from messages, so please do not enter names, addresses, client details, license numbers, or other personal information.
  • The Real Water project team reads conversations to improve the bot's answers.
  • How long we keep conversations: Each message, its response, and any rating are deleted 4 years after the message was sent.

Third-party resources

Our resource library links to tools from Esri (ArcGIS StoryMaps) and Arizona state agencies (such as azwatermaps and azwater.gov). Those sites have their own privacy policies.
